A useful structure survives the handoff.

A folder tree is not finished because it looks orderly to the person who built it. Your team needs to know where a new file goes and which copy to use when work resumes.

“Final” describes an intention. It does not tell a colleague whether a later copy was approved, or even which job the file belongs to.

We agree a convention that uses information your team already knows. That might mean a project label followed by a document purpose and a version marker. A date belongs in the name only when its meaning is settled: the date of the document is not always the date someone downloaded it.

Digital document organisation should remove ambiguity, not add a code nobody remembers. We can apply a convention across the agreed file set and flag names that cannot be resolved from the available information. The original file extension stays intact; renaming is not file conversion.

Name structure
Use the agreed project label and document purpose, followed by its confirmed version status. Do not insert private personal details simply to make a name unique.
Date meaning
If a date is required, define its source and format once. A missing document date becomes a question, not an inferred value from the download timestamp.
Folder destination
Use the designated project folder and approved subfolder. If the destination is unclear, put the item on the review list rather than inventing a new branch.
Existing name
Keep a record of the earlier location or name where the agreed handoff requires it. Check for a collision before replacing an existing filename.
Stop condition
Pause when names suggest different projects, approval evidence conflicts or a move would affect a shared reference that cannot be checked.

The rule should be short enough to use while filing. An elaborate hierarchy that forces every file through several subjective decisions is harder to maintain. We discuss the tradeoff between a shallow structure that needs clearer names and a deeper structure that needs more placement rules.

Choose the home before moving the file.

Start with the location your team actually uses, not a second folder tree that quietly competes with it. Identify which area holds working documents and which holds approved copies. An archive can preserve older material without putting it beside the version someone should use today.

Within an agreed rule

Rename the selected files, place them in approved destinations and record exceptions. Use the access already authorized for that work. Check that the intended file is present after a permitted move.

Needs a separate decision

Changing who can see a folder, overwriting a different file or removing retained material changes more than organisation. Those actions need explicit instructions and the appropriate approval.

Moving a file can affect a link in a message or a reference in another document. Tell us where those dependencies exist. We can agree the checks available in your system, but a tidy destination is not evidence that every old link still works.

Folder ownership also needs a person, not just a storage account. Someone in your business must be able to confirm where disputed files belong and approve changes to the convention. Unanswered placement questions stay visible in the handoff.

03 / Version review

The newest copy is not always the approved copy.

A fresh timestamp may come from a download or a format change. We check the evidence you identify before labeling a document as current. Where approval is uncertain, the label stays uncertain too.

Version review can mean comparing filenames, checking a history panel or noting differences between copies. It does not mean deciding whether a changed clause is legally acceptable or whether a figure should be posted to an account.

If copies disagree, the handoff names the difference that needs a decision. We do not combine passages into a new authoritative document unless editing is explicitly within the agreed task and you approve the result.

A file count is the starting point.

The same number of files can describe very different tasks. Applying an established name to a known set is not the same as sorting uncertain versions across overlapping folders. The scope discussion covers unresolved decisions as well as the amount of material. A folder of clearly labeled drafts needs different handling from conflicting copies with no approval history.

Set the convention, then apply it.

    Identify the material

    Describe the file set without sending confidential documents through the inquiry form. Before access is arranged, agree what is included and which locations stay untouched. Confirm scope and fees.

    Approve a working rule

    Use an agreed initial selection to test the naming and destination rules. Resolve awkward cases while they are still examples, rather than spreading an unclear convention across the whole file set.

    Organise within bounds

    Apply the accepted instructions and keep unresolved versions apart from approved material. A conflicting file is not overwritten simply because its name blocks a move. Record the question and seek the required decision.

    Return the filing guide

What organisation does not decide.

This is virtual office assistance for file handling. It suits a team that can identify an approver for the contents.

Can you decide which version is legally valid?

No. We can compare version labels and record the approval evidence you identify. Deciding legal effect, accounting treatment or whether a document meets a regulatory obligation is outside this service.

That distinction also applies to retention. You provide the retention instructions appropriate to your business; we do not determine statutory periods from the document contents.

Will moving files break shared links?

It can, depending on the storage system and how links were created. Tell us which files are linked elsewhere before moves begin. We agree checks within the available access and hold uncertain moves for review.

Do older copies get deleted?

Age alone is not a deletion rule. We follow your agreed retention and approval instructions. An older file can remain in an archive or a review location; deletion needs explicit authorization.

Can this be a recurring task rather than a one-off sort?

Yes, a repeat filing routine can be discussed once the naming and folder rules are settled. The scope needs a defined incoming location and a route for files that do not fit. Frequency and reporting are agreed separately.

Finding the right file does not authorize sending it to a customer. If a reply needs an attachment, agree the reply wording and the approved version together. If the file belongs to a contact record, keep the record review distinct from the document's contents.
